Saga University will send you Letter of acceptance and Certificate of Eligibility.You’ll apply for student visa with these documents at the Embassy or Consulate of Japan in your country.

Extension of Period of Stay

You’ll apply for Extension of Period of Stay when your permit expires while you’re studying at Saga University. You can start to apply for the extension three months before the expiration.

1. How to apply

Submit the required documents listed below by email attachment to the email address below.

※ Students who exceed their study period and second-year research students should submit the required documents to the Office for Student Exchange. Afterward, they will handle the procedures directly with the Immigration Office.

Required Documents (refer to the forms at the bottom of the page)

① Application for Extension of Period of Stay

② Application for Permission to Engage in Activities Other Than That Permitted under the Status of Residence Previously Granted (if applying simultaneously)

③ Photo (JPEG format, note the following)

  • File size of the facial photo should be less than 50 Kbytes.
  • File extension should be “Jpeg” or “jpg”.
  • Photo should only feature the applicant.
  • Applicant should face forward without head covering.
  • Background (including shadows) should be plain.
  • Photo should be clear.
  • Photo should have been taken within 3 months of application.

※ Research students transitioning to regular students need to provide a “Certificate of Research” filled out by their supervisor.

※ Students transitioning from Japanese language schools should obtain an attendance certificate and academic transcript from the language school.

⑦ Copy of Residence Card (both sides)

[Important Notes]

・Apply at least 1 week before your current residence expires.

・ For documents ④-⑦, combine them into one PDF file and send.

・ If you’re in a second year as a research student or you repeat the same grade, you have to go to the Immigration Office by yourself. Regarding the second-year research student, in addition to the above-mentioned documents, you have to submit a letter where you explain why you need to study one year more as a research student and a certificate of research. Also, you need a letter from your supervisor where he/she explains why you need to study one year more as a research student.

・ After completing the online application, you will receive a notification. Until your residence status is renewed, print out the notification and carry it with your residence card.

・If you are abroad, you cannot apply for an extension.

・If you would like to apply only for permission to engage in activity other than that permitted under the status of residence previously granted, you can go directly to the Immigration office in Saga. After getting permission, please be sure to submit a copy of your residence card (both sides).

2. Procedures After Approval

Once approved, you will receive an email notification regarding the completion of the examination process.

Bring the following to the Fukuoka Immigration Office, Saga Branch to receive your new Residence Card.

  • Residence Card
  • Passport
  • ¥4,000 revenue stamp (available at co-op stores, convenience stores, and post offices)
  • Copy of the email notification regarding the completion of the examination process (showing it on a smartphone or similar device is acceptable)

3. Procedures After Receiving the New Residence Card

After receiving the new Residence Card, promptly submit copies of both sides through the provided form.

Change the Place of Residence

Please report the place of residence by presenting a residence card to the municipal office where you live in within 14 days of the day when you decide a new place of residence or change the place of residence.

When you get your new address on your residence card, please submit it via Residence card submission form

Re-entry Permit and Permission to engage in activity other than that permitted under the status of residence previously granted

You need the following documents for application. You can do it by yourself.

If you will be reentering Japan within 1 year of your departure to continue your activities in Japan, you’re not, in principle, be required to apply for a re-entry permit.

Required documents
  • Passport
  • Application Form
  • Revenue Stamp of 3000 yen (single) or 6000 yen (Multiple)
  • Alien Registration Card of Residence Card
  • Copy of Student ID Card

*RA and TA doesn’t need work permit.
*All the international students can work 28 hours per week under this permit.
* If you go to Immigration office by yourself, you have to bring your passport and Residence Card after getting permission.
* It takes around one week to get permission after application.
* If you haven’t entered Saga University yet and you cannot get Certificate of Enrolment, you can submit Notification of Acceptance or Certificate of Admission.

Permission of stay for job hunting

You can obtain Permission of stay for seeking job after graduation from Saga University (Status: Designated Activities). For application you will need Recommendation Letter from Saga University. To obtain this letter, you have to have an interview with faculty members of the Center for Promotion of International Exchange. If you want to apply for this permission, please consult us first.

  • Recommendation letter issued by University (after interview)
  • Some documents which can demonstrate that you’re seeking employment
  • Application form for Change of Status

* If you want to work part-time, you have to apply for a part-time work permit.
